What does "Pending" mean for an order?
A marketplace marks an order Pending when it has been placed but payment hasn't been confirmed yet — for example, a buyer who chose a convenience-store or bank-transfer payment method and hasn't completed it. The order isn't cancelled and isn't ready to ship; it's simply waiting on the buyer (or the marketplace) to finish confirming payment.
Does a Pending order lock (reserve) my stock?
For Amazon, no. Amazon Pending orders never reserve stock — the quantity stays fully Available for sale on every channel while the order is Pending. Nothing about a Pending order blocks or reduces what you can sell elsewhere.
Once the order actually moves out of Pending (typically to Unshipped, meaning payment cleared), it's treated like any other new order from that point on and stock is reserved as normal — see Reservations — how Sugibana Flow prevents overselling.
What is the "Pending order — auto-flagged" label I see on the Orders page?
If a Pending order has been sitting in that state longer than a configured threshold (in days), Sugibana Flow adds a Pending order — auto-flagged label to it, with a tooltip stating how many days it's been Pending. This is purely informational:
- No cancellation is sent to the marketplace — the order is left exactly as-is there.
- Because Amazon Pending orders never reserve stock, being flagged doesn't change your Available quantity either.
- It simply calls the order to your attention as one that's been waiting an unusually long time, so you can check in on it if you want to.
What happens if the payment eventually clears?
Nothing special is required from you — if the buyer completes payment, the order resumes normally on the next sync: it moves out of Pending, gets picked up like any other order, and stock is reserved for it at that point.
Can I change how long before a Pending order gets flagged?
Yes, admins can set this under Admin → Policies → Stale Order Threshold:
- A global default (minimum 1 day, maximum 21 days).
- Optional per-channel overrides — leave a channel blank to use the global default for it.
This setting only applies to channels where Pending orders still reserve stock in the first place. Amazon doesn't reserve stock on Pending orders at all (see above), so Amazon isn't listed among the channels you can set an override for — the threshold would have nothing to release.
FAQ
Should I do anything about an order flagged "Pending — auto-flagged"? Usually not — it's a heads-up, not a problem to fix. If it's been Pending for an unusually long time and you're curious, you can check with the buyer or wait; Sugibana Flow will pick it up automatically the moment it clears.
Will a long-Pending order ever get cancelled automatically by Sugibana Flow? No — Sugibana Flow never cancels an order on your behalf. The marketplace controls whether and when a Pending order is eventually cancelled if payment never completes.
Does a Pending order show up in my pick list or affect shipping? No — only orders that have moved past Pending (payment confirmed) are ready to be picked, packed, and shipped.
